How to Know if Your Cleaning Service Is Working or Coasting
Most commercial property managers and office administrators do not have time to conduct deep 2-hour facilities inspections every week. You walk through the lobby, glance at the clean trash cans, and assume everything is handled. But superficial tidiness often hides deep maintenance decay.
Here is an investigative 5-minute self-audit developed by Finn Calloway and our commercial operations crew. You can run it tonight at 5:30 PM with zero specialized equipment.
Checkpoint 1: The Baseboard Slurry Line (60 Seconds)
Walk to the far corner of your primary restroom or break room. Look where the rubber or vinyl cove baseboard meets the ceramic or VCT floor.
What you’re looking for: A dark gray or yellowish buildup along the seam. If it’s there, your cleaners are using dirty mop water and slamming string mops against the baseboards, driving soil into the edges rather than picking it up.
Checkpoint 2: The Conference Table Underside (30 Seconds)
Run your index finger beneath the edge of your boardroom conference table or reception counter.
What you’re looking for: A chalky layer of fine white desert dust. Low-cost cleaners only wipe the center circle of tables and feather-dust the air. True commercial custodians damp-wipe all table perimeters and aprons to trap desert particulate.
Checkpoint 3: The Restroom Grout Porosity Test (60 Seconds)
Examine the grout lines surrounding urinals and toilet fixtures. Is the grout noticeably darker near the fixtures than it is near the entry door?
What you’re looking for: Uric acid and bacterial penetration. If standard janitors mop with neutral floor soap instead of an enzymatic bacterial digester, urine salts bond to the grout, causing persistent odors that air fresheners can never cover.
Checkpoint 4: The Keyboard & Monitor Vents (60 Seconds)
Inspect the vents on the back of two randomly selected computer monitors or desktop CPU towers.
What you’re looking for: Gray lint buildup. If computer vents are clogged with fuzz, your nighttime crew is using static feather dusters that kick dust into electronic equipment rather than using micro-static HEPA vacuum wands.
Checkpoint 5: The Janitorial Closet Reality Check (90 Seconds)
Unlock the janitorial supply closet. What do you see and smell?
What you’re looking for: If you see dirty gray string mops standing heads-down in murky brown water buckets, unlabelled chemical spray bottles, or piles of dirty rags, you are paying for cross-contamination. A professional closet features color-coded microfiber charging buckets, clean hanging mop heads, and OSHA-compliant SDS sheets.
What Did Your 5-Minute Audit Reveal?
If your building failed two or more of these checkpoints, your facility is suffering from deferred custodial damage that will eventually require expensive carpet restoration, tile re-grouting, or floor stripping.
